Camps & independent school programs

Registration systems, data strategy, and technology selection for summer and year-round auxiliary programs. We start with how your season actually runs, then choose the tools.

What we work on

Registration systems

Evaluation and selection against your real requirements: sessions, siblings, waitlists, medical forms, payment plans.

Data strategy & reporting

One version of the truth across registration, finance, and communication, with reports leadership will actually read.

Workflow mapping

Season-by-season mapping of who does what, when, so configuration follows the work instead of fighting it.

Technology alignment

Making registration, SIS, accounting, and communication tools agree with each other, and retiring what you no longer need.

Vertical best practices

What comparable camps and schools do well, and what quietly costs them staff time every season.

Systems assessment

A structured review of fit, efficiency, and data leverage, delivered as a written recommendation you own.

How we work with camps and schools

Built around the season, not our calendar

Auxiliary programs have one window where nothing can break. Everything we do is sequenced around that, which is why the same four steps look different here than they do for a business client.

The season sets the schedule

Discovery and mapping happen off-season. Nothing gets reconfigured in the six weeks before registration opens, and nothing gets touched mid-season without a rollback.

Process before software

A new registration system will not settle who approves a refund or how a sibling discount works. We decide that first, then configure to match.

Your team runs it in July

Configuration a seasonal coordinator can operate without calling you, documented so the next hire inherits it instead of rediscovering it.

What an engagement looks like

Four steps, in order

  1. 01

    Listen

One conversation, 45 to 60 minutes, usually right after a season ends while the friction is still fresh. What broke, what got done by hand, what nobody wants to repeat.

  2. 02

    Map the season

Registration night through the last bus home. Who touches each record, where families call instead of self-serving, and which spreadsheet is quietly the real database.

  3. 03

    Recommend

A written read on keep, fix, or replace for each system, plus a requirements list you can send to any vendor without us in the room.

  4. 04

    Implement and hand over

Configuration, forms, reports, and a staff walkthrough before go-live, then a check-in after the first full season on the new setup.

Season-shaped, but the principles are firm-wide. Read the principles or the four steps in full.

Quick self-check

Where does your season break?

Six questions, two minutes, nothing sent anywhere. It tells you which part of the season we would look at first.
